Job Description

***Please note: This role will be onsite at our office in Bellevue, WA 5 days a week***

We are seeking a dynamic and organized Office Manager to oversee the seamless functioning of our office operations. The ideal candidate will be responsible for various administrative tasks, including liaising with building management, coordinating daily catered lunches, managing office inventory, acting as the primary vendor contact, collaborating with the Executive Assistant (EA) on meeting preparations and special projects, and ensuring a smooth first day onboarding process for new office employees.

Your Role:

  • Act as the main point of contact for building management, ensuring a well-maintained and safe office environment. Address any facility-related issues promptly and coordinate maintenance or repairs as needed.
  • Organize and manage daily catered lunches, ensuring variety and quality while accommodating dietary restrictions. Collaborate with vendors to plan menus and place orders.
  • Maintain an organized inventory of office snacks and drinks, monitoring stock levels and replenishing supplies as necessary. Ensure the kitchen and common areas are well-stocked and presentable.
  • Serve as the primary liaison with vendors, managing relationships, placing orders, and addressing any inquiries or concerns. Negotiate favorable terms and pricing when appropriate.
  • Work closely with the Executive Assistant to prepare for meetings, including arranging necessary materials, setting up meeting rooms, and coordinating technology requirements. Assist with special projects and visits from remote team members.
  • Collaborate with the IT department to set up office workstations for new employees, ensuring all hardware and software are properly configured. Maintain and troubleshoot conferencing equipment to facilitate smooth virtual meetings.
  • Facilitate the onboarding process for new employees by ensuring their workstations are set up, access to necessary systems is granted, and they receive a warm welcome to the office environment.
  • Manage incoming and outgoing mail, including coordinating FedEx pick-ups and deliveries. Ensure timely distribution of mail to relevant recipients.

Your Experience:

  • 2+ years of proven experience in office management or related administrative roles.
  • Exceptional organizational skills with keen attention to detail.
  • Strong interpersonal and communication skills, both written and verbal.
  • Proficiency in vendor management and negotiation.
  • Ability to create and maintain budgets
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Tech-savvy with a basic understanding of IT equipment and software.
  • Problem-solving mindset and the ability to handle unexpected challenges.
  • Familiarity with coordinating events or special projects is a plus.

Our compensation reflects the cost of labor across several US geographic markets. The base pay for this position ranges from $70,000-$90,000. Pay is based on a number of factors including market location and may vary depending on job-related knowledge, skills, and experience.
